Placing Items on Reserve

The Form

The Reserve Request form is available online. Adobe Reader is required. Paper copies are also available at the Meyer Circulation desk.

General Information

Please provide all requested information for each unique title. To help insure that these items are available to students in a timely fashion, Reserve Requests should be typed and submitted to Circulation personnel at least 5 days or more before needed for class use. Remember, at the beginning of each semester there is invariably a large backlog due to the sheer number of reserve requests we receive and we must process them in the order in which they are received. Requests turned in that are incomplete, incorrect, or handwritten will be processed after the others received on that day.

Call Number

Provide the call number for any item placed on reserve from the library's collections. Photocopies and other items provided to the library by the instructor should be noted as Personal Copy.

Periodicals

Actual issues of library periodicals cannot be placed on Reserve. Only instructor personal copies or a photocopy.

Copyright

Remember, photocopied chapters and articles should only be used one semester under “fair use.” To use multiple times, you need to have permission from the publisher. When photocopying from a book no more than 10% of the book is allowed. When photocopying from a journal, only one article is allowed per issue. The instructor must sign the reserve form themselves, since permission to use the material was given to them. Keep copyright permission letters handy in case any questions surface regarding the reserve material.

Author

Indicate the main author or editor for periodicals, articles, or books.

Title

Indicate the title of the book or periodical articles. For other items, indicate the title which the student will be instructed to use in requesting the item.

Copies

Note the number of copies of each title being placed on reserve.

Other

Realia such as leaves, rocks, or plastics should be placed on reserve in Media Collections. Materials (other than photocopies) received through Interlibrary Loan cannot be placed on Reserve.

Loan Period

  • 2-Hour: Items may be used in the Library for two hours. They may not be removed from the library.
  • 1-Day: Items circulate for one day and are to be returned anytime on the date due.
  • 3-Day: Items circulate for three days and are to be returned anytime on the date due.
  • 7-Day: One week loan for graduate survey courses. Items circulate for seven days and are to be returned anytime on the date due.

A Few Tips

Here are a few tips that will help us process your reserve request with the utmost speed.

    The Size of the Article Matters
    It will be easier for your students to access electronic materials that are under thirty pages in length. With articles thirty pages and over many students will not only have trouble printing but accessing the articles as well.

    Provide Single-sided Copies Whenever Possible
    This will greatly cut down on our scanning time, meaning your reserves get processed faster.

    Special Instructions
    Communicating any special instructions or needs to the supervisor accepting the list will allow that supervisor to communicate them directly to the reserve personnel so as to avoid any confusion. We would like to help each instructor personally, but due to the large workload each semester that is not always possible

    Passwords
    Please remember to supply a password for all electronic reserves. The password is case sensitive, and only the instructor can give out the password. Circulation personnel cannot give out the password to anyone but the instructor.
